When the original developer is no longer available
Custom business software can operate reliably for many years. But retirement, a job change or illness may leave an organization without the person who knows how it works. Often the missing knowledge concerns business rules, data flows and exceptions as much as code.
Clarify the business impact first
Identify the processes that depend on the application, its critical functions, open defects and pending changes. A structured inventory is a better starting point than an immediate replacement project.
Secure source code and build dependencies
Preserve source code, project files, libraries, installers and documentation. Check whether the application can still be built. Database schemas, interface descriptions, licenses and administrative access should be included in a controlled handover, with access protected.
An older system does not always need replacing
Targeted maintenance and enhancements can be more appropriate than a rewrite when the application still serves its purpose. Security, compatibility and structural limitations may change that assessment.

Existing systems may use VB5, VB6, VB.NET, Microsoft Access, SQL, FoxPro, Visual FoxPro, dBASE or Clipper. Maintainability depends on source availability, dependencies and the operating environment, not just the language.
A practical takeover process
Start with a discussion of business priorities, followed where appropriate by a review of source code, build process, database, interfaces and known issues. Then prioritize immediate fixes, ongoing support and future enhancements.
Warning signs
Risks increase when one person holds all knowledge, builds cannot be reproduced, installation files are missing or database and interface dependencies are undocumented. Early action preserves options.
